Hotel Reservations


SC2004 will have the largest exhibition ever and is expecting strong conference participation. As a result, the conference has had an overwhelming number of requests for Pittsburgh hotel rooms. In addition, after the conference was confirmed in Pittsburgh, the National Football League scheduled a game with one of the premier league rivalries, the Pittsburgh Steelers vs. the Philadelphia Eagles, on Sunday, November 7, with weekend rooms reserved for fans. Therefore, the downtown Pittsburgh hotels have been sold out for participant early arrivals. We have arranged for several hundred SC2004 hotel rooms in the Pittsburgh Greentree area and the Pittsburgh Oakland area to accommodate those who wish to arrive early. The Greentree and Oakland hotels are approximately 4 miles from the downtown area, and SC2004 will provide shuttle buses to/from the hotels to the Convention Center. We are working to see if we can make more downtown hotel rooms available for the conference.

Hotel Locations, Descriptions and Transportation

The conference hotels are located in downtown Pittsburgh and nearby Green Tree and Oakland. (note: Green Tree and Oakland hotels have attractive room rates and other desirable amenities. See the hotel rates and amenities chart for more details.) Conference busing will be provided this year to all conference hotels except the Westin Convention Center Hotel and Courtyard by Marriott Pittsburgh.

Please note this service is for individual room reservations only (roommates included). Instructions and Policies
Room reservations at conference hotels are handled on a first-come, first-served basis through The Greater Pittsburgh Convention and Visitors Bureau. Reservations must be made by using the on-line reservation system (see below for details), or by completing the SC2004 Conference Housing Form. Reservations can be faxed to 412-644-5512. Reservation requests cannot be taken over the telephone. Conference rates will not be given to persons who directly contact the hotels.

All hotels are in compliance with the Americans with Disabilities Act (ADA): guest rooms, common areas, meeting facilities and transportation services are within ADA requirements.

A guarantee by credit card valid through November 2004 or a check/money order deposit is required for the first night’s room and tax at time of reservations. Deposit checks and money orders must be made out to GPCVB Housing Bureau. Total occupancy tax is 14% (subject to change). ALL ROOMS MUST BE GUARANTEED WITH A CREDIT CARD OR CHECK DEPOSIT OR YOUR RESERVATION WILL NOT BE MADE.

If there is more than one person staying in a room, enter all names when making the reservation online or indicate their names when submitting a housing form. Please assign one person to make your reservations and to be the contact person who informs the Housing Bureau of any changes. GPCVB’s Housing Bureau’s automated system will send an acknowledgement to the primary guest only via email, fax or mail (in that order) depending on how the information is provided.

Guarantees and Cancellations
Guaranteed reservations are typically held until 6:00 am the following morning, at which time the reservation and deposit are forfeited and a “no show” charge may be applied (at the discretion of the individual hotels). However, each hotel has its own guarantee policy, so if you are going to arrive after midnight, it is important to make note in your reservation online or email the to make the notation. After November 1, 2004, please notify the hotel of your planned late arrival to ensure your reservation and avoid any “no show” or cancellation fee.

Reservations cancelled AT ANY TIME guaranteed with a check or money order will be charged a $25 cancellation/processing fee.

Cancellations made after October 4, 2004 will be charged a $25 cancellation /processing fee (for reservations paid by credit card).

You must cancel your reservation at least 72 hours prior to the scheduled arrival date or you will be charged the first night’s room and tax by the assigned hotel. If you cancel a room, keep your cancellation acknowledgement number. This is your proof of cancellation should there be a dispute about billing.

Changes and Early Departures
Changes to reservations must be made through GPCVB’s Housing Bureau. This can be done via the on-line reservation system, email ( or fax (412-644-5512). When you check in, verify your departure date. Lack of notification may result in an early departure fee (at the discretion of individual hotels).

DEADLINE for Housing Reservations guaranteed at the conference rate: October 4, 2004, 4:00 pm Eastern Daylight Time. Reservations received after the cut-off date are accepted by GPCVB’s Housing Bureau on a “space available” basis and cannot be guaranteed at the conference rates.

Do not contact the hotels directly to make, change or cancel your housing reservations until after October 25, 2004.

If a room block of 5 or more is requested, a minimum of the first nights’ room and tax for each room is required in advance by check, money order or credit card and is NON-REFUNDABLE. DEADLINE for Rooming Lists (5 or more rooms) with deposits to include names, arrival/departure dates, credit card numbers (if organization is not paying deposit by check), type of accommodations and a primary contact person’s name, address, phone number, fax number and email address: September 27, 2004. If your rooming list is not received by the deadline date, your room block is automatically released.
